Who this app is for

FleetPilot is a K-12 transportation tool for adult drivers and parents/guardians. It is not directed at children under 13. Students do not create accounts or sign in. Parents only see their own children. Drivers see a stop manifest, not parent phone numbers.

Information we collect

Account details (name, email, phone, role, organization), device tokens for push notifications, precise location from a driver phone only while a run is active, and operational records (assignments, pickup/dropoff events, absences, in-app messages, complaints) needed to run the service. We do not collect contacts, photos, microphone audio, health data, or advertising identifiers.

Location

We ask for precise location only after a driver starts a run. It is used for navigation and so dispatch and linked parents can see the bus. We request foreground (“while using the app”) location only — we do not request background location and do not track drivers between runs. Collection stops when the run ends. Parents do not share their GPS.

Student and children's data

Student records (name, grade, school, assigned stop, ridership events) are supplied and controlled by the school or transportation provider. We process them as a service provider on the school's behalf, consistent with FERPA school-official practice and applicable student-privacy law. We never use student data for advertising or profiling, and we do not sell it.

How we use and share data

Data is used for routing, live tracking, alerts, and district operations. We do not sell personal information and we do not use it for advertising. Data is shared with the transportation organization, the schools it serves, and processors that help us operate the platform — cloud hosting, Google Maps Platform for maps and directions, and Apple Push Notification service plus Firebase Cloud Messaging for notifications — under contract.

Retention, correction, export, and deletion

Student records are kept for the school year and the following year, then archived. Routes are kept through the school year. Copying a route to the next year creates a draft that is reviewed before it is activated. Archive stops future runs and keeps past history. Contact details stay while the person has access and are removed from sign-in when access ends. The transportation office keeps the operational record. License and account identity stay with the driver or staff record until that record is archived. An invitation code expires in 14 days and works once. Notifications are kept so dispatch can see that a driver was told and whether they acknowledged it. The acceptance date, the Terms and Privacy version, and the network address are kept with the account. You may ask the transportation office to correct a record, export the records they hold, or permanently delete an account. Permanent deletion is an administrator action and asks you to type PERMANENTLY DELETE. Traffic is encrypted in transit, passwords are stored hashed, and access is limited by role. Delete your account in the app (Profile → Delete account) or read https://gofleetpilot.com/account-deletion.

Your rights and contact

Depending on where you live you may have the right to access, correct, port, or delete personal data, and to appeal a decision. Email hello@gofleetpilot.com and we will respond within 30 days. Requests about a student's record are handled by the school or transportation provider that controls it. If we make a material change to this policy we will update the date above and notify users where required.
